Getting started
How long does it take to get up and running?
About three weeks from the first conversation to staff working in the system day to day. Setting up your hospital takes a few days; most of the time is training and moving records at a pace your staff can absorb.
Do we have to digitise every old file before we can start?
No, and we recommend you do not. Every new patient is digital from day one, and the existing paper catalogue is worked through in the background — usually starting with active patients. You get the benefit immediately instead of waiting months.
We already have records in a spreadsheet or another system. Can they come across?
Yes. Where data already exists in a structured form we can import it in bulk rather than re-typing it. Tell us what you have during the first conversation and we will tell you what is involved.
How much training do staff need?
Each role only learns their own portal, which keeps it short — typically a single hands-on session per group, done on your own data. Front desk staff get a one-page quick reference.
Using it day to day
Do we need to buy new computers or scanners?
No. Patient360 runs in the browser on the laptops, tablets and Android phones you already have, and installs to the home screen like an app. Documents are captured with a phone camera, so no scanner is required.
What happens when the internet goes down?
The app keeps working. Records you have already opened remain available, new entries are saved on the device, and everything syncs automatically when the connection returns. Staff are not left standing at a blank screen.
Will it use a lot of data?
Not much. Photographs are compressed on the device before they are uploaded, and the app is built to be light. It was designed for hospitals on metered and intermittent connections.
Can two people work on the same patient at once?
Yes. A records officer can be filing a document while a doctor reads the history — each sees the other’s changes without anyone having to hand over a folder.
What if a staff member leaves?
Your administrator revokes their access immediately, from the admin portal. Because sign-in is invite-only, a removed account cannot get back in. Everything that person did remains in the audit log.
Security and data
Who can see our patients’ records?
Only staff your administrator has invited, and only the parts their role requires. Other hospitals on Patient360 cannot see your records at all — the separation is enforced by the database, not just hidden in the interface.
Can Patient360 staff read our patient data?
No — and that is enforced by the database, not just promised. Our staff accounts can see the operational shape of the platform (which hospitals exist, how many records and users, how much storage) but have no permission to read patient records, documents or clinical notes in any hospital, including one they hold an account in. If we ever need to look at a specific record to resolve a support issue, you would have to grant a normal staff account for that, and every access is logged.
Is this compliant with the NDPA?
Patient360 is built around the NDPA’s requirements and gives you the mechanisms it expects — consent capture, audit trails, export on request and retention control. Your hospital remains the data controller; we act as your processor and will sign a data processing agreement. See the security page for the detail.
Who owns the data?
You do. You can export your hospital’s records at any time, and there is no clause that holds your data hostage if you decide to leave.
What happens if Patient360 goes away?
A fair question to ask any supplier holding your records. Your data is exportable in standard formats at any time, so you are never in a position where the only copy is somewhere you cannot reach.

How is it priced?
Pricing depends on the size of your hospital and how many staff need accounts. We will give you a straight number for your situation on the first call — no per-record surprises.
Is there a long contract?
We would rather keep you because the product works than because of a contract. Talk to us about terms that fit your budgeting cycle.
What does support cost?
Support and product improvements are included. You get a direct channel to reach us, not a ticket queue.
